Inventory Made Simple

Use this guide to sign in, join or manage a company, work with inventory, and understand what syncs across devices.

Quick Start

  1. Sign in or create an account.
  2. Create a new company, accept an invite, or join an existing company with its 5-digit company code.
  3. If you join by company code, wait on the pending page until an owner or company admin approves you.
  4. Open a department, add products, update stock, and use comments to leave product notes for the team.

Sign In

Accounts and passwords

  • Email and password accounts can be used from another browser when both browsers connect to the same sync server.
  • Use Forgot password? to request a reset. Email delivery works after an email server is configured.
  • Google and Microsoft buttons are available for provider sign-in when those providers are configured.

Companies

Create or join a company

  • Create company makes a new company and assigns a 5-digit company code automatically.
  • The company code cannot be typed when creating a company. It is generated for the owner.
  • Join company lets a new user enter an existing 5-digit code and creates a pending access request.
  • The company code is only shown on the owner page.

Pending Access

Approval flow

  • Users who join by company code go to the Access request pending page.
  • Owners and company admins approve pending users from the owner/admin page.
  • During approval, the admin chooses the role and departments the user can access.

Roles

Who can do what

  • Owner: sees the company code, manages account/company tools, approves users, creates departments, and can edit all inventory.
  • Company admin: can approve users, invite members, create departments, and manage company inventory.
  • Department user: can manage products in assigned departments.
  • Viewer: can view assigned departments but cannot edit products.

Owner Page

Company management

  • Open the owner/admin page from the top toolbar.
  • Create departments from the department section. Department creation is visible only to owners and admins.
  • Departments can include a description and optional member email assignments.
  • Use the invite section to send members a role and department access.
  • Use pending approvals to approve users who joined with the company code.

Inventory

Departments and products

  • Open one department at a time from All departments.
  • Use Add Product inside a department to create a product with a starting shelf and quantity.
  • Use the pencil button on a product to edit its name, low-stock alert, or notes.
  • Use the trash button to delete a product when you have edit access.

Stock

Locations and counts

  • Each product can have multiple shelf spots.
  • Use +1 and -1 for quick count changes.
  • Use Add spot to add another shelf or storage location.
  • Use Move to move quantity between locations.
  • Low-stock items are counted in the stats page.

Comments

Product notes for the team

  • Use the message button on a product to open comments.
  • A badge appears on the message button only when the product has one or more comments.
  • Opening comments shows existing comments first. The add form stays hidden until Add comment is clicked.
  • New comments are saved with the product and remain visible to other approved company users after sync.

Navigation

Moving around

  • Use Back controls to return from stats, departments, product editing, and the owner/admin page.
  • The Stats button in the top toolbar shows department, product, item, and low-stock totals.
  • Use department search to find products or shelf locations.
  • The shelf sort button changes the department product order.

Offline Sync

Working offline

  • Approved users can keep working when the internet drops because changes are saved locally first.
  • The status pill shows states such as Synced, Sync pending, and Offline sync.
  • Offline changes upload automatically when the browser reconnects.
  • For other people to see changes, everyone must use the same hosted WareKenn server.

Import Export

Data copies

  • Export downloads the visible inventory as a JSON file.
  • Import loads inventory data back into the company workspace for accounts with import access.
  • Import and export are useful for backup, testing, and moving demo data.

Account

Sign out and delete account

  • Sign out returns to the sign-in screen.
  • The account page includes a delete account button with a confirmation warning.
  • Deleting an account removes that user's account data. Shared company inventory and comments stay with the company, even if the deleted user added them.

Notes

Current limitations

  • The scanner button currently opens a notice. Use Add Product until barcode scanning is connected.
  • Forgot-password email delivery requires email server configuration before real emails can be sent.
  • If sync is pending, keep the browser open until the connection returns and the status changes to Synced.
